Who we are

This website is run by Your Local Gardener Scotland Ltd (company number SC847085), trading as Your Local Gardener. Our registered office is 2 Steel Way, Lesmahagow, ML11 0NA. We are the controller of the personal information described in this policy.

What information we collect

When you ask for a free quote, we collect:

• your name, email address and phone number, and how and when you prefer to be contacted
• the address and postcode of the property
• details about the work you need, such as the services, garden size, access and availability
• any photographs you choose to upload

When you use the contact form, we collect your name, email address, phone number (if you give it) and your message.

We also record basic technical information needed to run the forms safely: the page you submitted the form from, the page you first arrived on, the referring website and any campaign tags in the link you followed (known as UTM tags). To protect the forms from spam, our website host checks submissions automatically (including with the Akismet spam filter), which involves processing technical details such as your IP address.

If you phone, email or WhatsApp us, we will receive the information you choose to share, such as your number and your messages.

How we use your information

• to respond to your enquiry and prepare a quote
• to contact you about the quote and arrange any visit
• to carry out work you ask us to do, and keep appropriate records
• to keep our website and forms secure and prevent spam

We do not sell your information and we do not use it for marketing.

Our lawful basis

We use information from quote requests because you have asked us to take steps before entering into a contract (preparing a quote). We use information from general questions, and technical and security information, on the basis of our legitimate interests in responding to enquiries and keeping the website secure. Where we have to keep records by law, such as financial records for customers, we do so to meet those legal obligations.

Photographs

Photographs uploaded through the quote form are stored by our website host, Netlify, so the team can view them. They are not publicly listed on the website. We delete form submissions and photographs from the host once they are no longer needed, and within 90 days. Please avoid including people, vehicle registration plates or other personal details in your photos.

Who we share information with

We only share your information with service providers who help us run the business, such as our website hosting provider (Netlify, which receives and stores form submissions for us and is based in the United States, so your information may be processed outside the UK) and our email provider, and only as needed for them to provide their services. If you contact us through WhatsApp, your messages are also handled under WhatsApp’s own terms and privacy policy.

If we use Cloudflare to protect the website or its forms from spam, Cloudflare processes limited technical information about your visit for security purposes.

We may also share information where the law requires it.

How long we keep information

We keep enquiry details for as long as needed to deal with your enquiry and any work that follows, and for as long as the law requires for business records. Form submissions and uploaded photographs are deleted from our website host within 90 days.

Your rights

You have the right to ask for a copy of your information, to ask us to correct or delete it, to object to or restrict how we use it and, in some cases, to ask for it to be transferred. To make a request, contact us using the details above.

If you are unhappy with how we have handled your information, please tell us so we can try to put it right. You also have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk.
